Travel Programme Overview:
- Travel Programme: A personalized Travel Programme with Pricing Summary for your New Zealand and/or Australia land arrangements, will be presented for your review; quoted in either New Zealand ($NZD) or Australian ($AUD) Dollars.
- Pricing Summary: This is inclusive of Government G.S.T. (Goods and Service Tax) at 15% for New Zealand and/ or 10% for Australian travel services. Due to confidential contractual arrangements with our vendors, we do not provide Itemised Pricing.
- Air Services: Domestic & Trans-Tasman Air Reservations can be provided on your behalf and will be priced with your land arrangements. International air reservations can be arranged and will be quoted independent of your land arrangements. We price fully flexible fares which are changeable and refundable up until the time of ticketing. Air is non-refundable once air-tickets have been issued.
- Exclusions: Pricing excludes non-specified meals and beverages, items of a personal nature, hotel incidentals, flights (unless specified), gratuities, passports, visas and travel insurance.
Agreement & Acknowledgement:
- Deposit: On acceptance of your personalized Travel Programme, a non-refundable deposit is required to confirm your land arrangements (note - deposit amount may vary due to specific vendor / seasonal contract terms). Note: Air Reservations are payable in full; at the time of depositing all land arrangements.
- Full Payment: Payment for your personalized Travel Programme must be settled prior to your arrival in New Zealand or Australia. A final invoice will be sent accordingly. Services will be cancelled if full payment is not received, to avoid incurring additional penalties.
- Travel services within 60 days of your arrival: Full payment is required to confirm all services if arriving within 60 days of your planned start date.
- Travel during the Peak Festive Season (15 December – 10 January inclusive): Special payment terms and cancellation conditions apply for travel during this period. This will be outlined when your personalized Travel Programme is presented.
Payment Overview:
Our preferred method of payment is by Electronic Funds Transfer to Tāpoi Travel Limited. Banking information is provided at the time of issuing your invoice.
All major credit cards are accepted (Visa / Mastercard / Amex). Additional surcharges do not apply for Itinerary values less than $NZD100, 000.00.
A secure link will be provided to transact your payment. We will never ask you to provide credit card information via email.
Deposit and final balance invoices will be submitted in accordance with the following terms:
- Travel between January – December (excluding festive season)
Deposit: 20% non-refundable deposit (or greater if advised otherwise) is required, to confirm your Travel Programme.
Balance: Due 60 days prior to your arrival. - Festive Season Travel (15 December – 15 January inclusive)
Deposit: 25% non-refundable deposit (or greater if advised otherwise) is required, to confirm your Travel Programme.
Balance: Due 90 days prior to your arrival.
Cancellation & Refund Information:
The Covid-19 pandemic has imparted significant lessons globally.
We strongly recommend that all travellers obtain travel insurance, as illness, changes to travel plans, and cancellations can be unavoidable. While we will show flexibility and consideration in all cases, please note that any cancellation charges will be applied in accordance with the policy outlined below.
- Cancellation Terms | Travel between January – December (excluding festive season)
59 - 31 days prior:
For cancellations made within 59 – 31 days prior to your arrival. Penalties apply for any non-refundable purchases processed for air services, land-based charter services and / or accommodations made on your behalf, with the balance of funds being returned accordingly.
30 days or less:
For cancellations made 30 days prior to your arrival. 100% cancellation penalty applies. - Cancellation Terms | Festive Season Travel (15 December – 15 January inclusive)
89 - 61 days prior:
For cancellations made within 89 – 61 days prior to your arrival. Penalties apply for any non-refundable purchases processed for air services, land-based charter services and / or accommodations made on your behalf, with the balance of funds being returned accordingly.
60 days or less:
For cancellations made within 60 days prior to your arrival. 100% cancellation penalty applies. - Refund Policy:
Refunds are not available for voluntary cancellations or no-shows for any pre-booked service.
Refunds will be issued if announcements from the New Zealand and/or Australian Governments regarding border restrictions and closures prohibit non-essential businesses from operating, preventing customers from receiving pre-paid travel services return.
Refunds will also be provided if vendor actions or weather conditions affect your journey, resulting in the cancellation of activities.
Please note that any refunds may be subject to an additional NZD $100.00 fee for bank transaction costs incurred.
Adventure Activity Regulation 8A (New Zealand):
Under Regulation 8a of the Health and Safety (Adventure Activities) Regulations 2016, Adventure Activity Operators must take all reasonable steps to notify participants of any serious health and safety risks associated with the activity.
Our duty of care is to ensure that any potential risks from participating in an Adventure Activity are clearly communicated and understood. By completing and signing the Traveller Information Form, you acknowledge and accept these risks and confirm your decision to proceed with the activity or activities.
Your safety is paramount, and we are committed to providing you with the necessary detail to make informed decisions.
Entry Requirements for New Zealand & Australia:
An Electronic Travel Authority (eTA) is required for all eligible passport holders wishing to enter New Zealand and Australia.
Processing time can take up to 72 hours, therefore allow ample time to apply and complete your application. All related eTA costs are at the expense of the traveller. Government application information will be provided with your final, confirmed Travel Programme. Traveller Declarations must be completed within 24 hours of your arrival. New Zealand has an electronic solution, whereas Australia currently retains their Incoming Passenger Card procedure. There is no cost for either service.
Travel Documentation:
An electronic copy of your final Travel Programme and Documentation will be e-mailed at least 3 weeks prior to departure.
A printed version of your Travel Programme and Documentation will be sent to your hotel to receive on arrival into New Zealand or Australia.
Duty of Care & Responsibility:
At Tāpoi Travel Ltd, our duty of care is to provide you with knowledgeable travel advice, booking services, and customer management, all delivered with professionalism, integrity, and respect.
Our vendor partners, who supply accommodations, transportation, guided tours, and sightseeing services, are independent contractors and not agents or employees of Tāpoi Travel Ltd. We carefully select our partners, ensuring they comply with the New Zealand Safety at Work Act 2015 and the Adventure Activity Regulations 2016.
By using their services, you agree that neither Tāpoi Travel Ltd nor any affiliated or subsidiary companies or representatives shall be liable for any accidents, loss, injury, or damage to you or your customers in connection with any accommodations, transportation, or other services. This includes incidents resulting from conditions beyond our control, such as equipment breakdowns, strikes, theft, delays, changes, or unexpected cancellations affecting the itinerary.
Clients are responsible for obtaining and complying with documents such as Travel or Vaccine Passports, Visas and Electronic Travel Authorities, including adherence to local government and border control regulations. Any exceptional requirements mandated by the government will be communicated accordingly.
Our services are governed by New Zealand law, and New Zealand courts have non-exclusive jurisdiction.
